 - Reports from schools or other professionals

We collect this data to:
 - Provide psychological assessments and therapy
 - Communicate with you and other professionals involved in your care
 - Respond to enquiries and manage appointments
 - Maintain records for legal, clinical and safeguarding purposes
 - Invoice and receive payment for our services

We process your data under the following lawful bases:
 - Consent: when you provide explicit permission (e.g. to share with a school or GP)
 - Contract: to deliver the psychological services you have requested
 - Legal obligation: to comply with safeguarding, health and safety, or financial reporting laws
 - Legitimate interests: for internal audit, rota planning, or reminders 

5. Who We Share Data With 

We only share data when necessary and with your consent, unless legally required. Examples include:
 - Your GP or referring professional
 - Your child’s school, with consent
 - Insurers or solicitors, at your request
 - The Information Commissioner's Office (ICO), if required
 - Our accountant or system providers (for limited administrative purposes) 

6. How Your Data Is Stored 

Your data is stored securely on encrypted systems including Semble, cloud-based drives, and locked physical files. We restrict access to authorised staff only and use secure passwords and encryption protocols. 

7. How Long We Keep Your Data 

We keep clinical records for 7 years after your last contact (or until age 25, if under 18 at last contact). Administrative and financial data may be kept for up to 7 years for tax and legal purposes. 

8. Your Rights 

You have the right to:
 - Request access to your data
 - Ask for correction or deletion
 - Object to how your data is processed
 - Withdraw consent (where applicable)
 - Lodge a complaint with the ICO

Who Are We? 

We are Child Connect – a team of psychologists and doctors who help children, teenagers and families. To do our job properly, we need to collect and use some information about you. 

What Information Do We Collect? 

We collect things like:

 - How to contact you or your parent/carer
 - Notes about your sessions with us
 - Letters from your school or doctor (if needed)
 - Assessments or reports we write 

Why Do We Collect It?

 - Write reports (with your parent’s/carer's permission)
 - Talk to other people involved in your care (only if needed and agreed)

Who Can See Your Information? 

Only the people working with you will see your information. Sometimes we talk to your school or GP, but only if it helps you – and we will explain first. 

How Do We Keep It Safe? 

We keep your information on secure systems. Only people in our team can see it. We won’t share it unless it’s really important (like keeping someone safe). 

Your Rights 

You have rights over your information. You can:
 - Ask to see what we’ve written about you
 - Ask us to fix anything that’s wrong
 - Ask questions if you’re not sure why we need something
 - Say no if you don’t want us to share something (unless someone is in danger)
